How to quickly sign a document on Mac, iPhone, and iPad

We’ve all been there…stuck trying to figure out how to electronically sign a document 2 minutes before we need it. Printing and faxing can be a total pain and a waste of time. Here’s how to quickly sign a document on Apple devices.

PS – it’s way easier than you might think!

Mac

There are two different ways to sign a document electronically on a Mac.

If you’re in Google Docs, go to File → Download → PDF first. Save it somewhere easy to find, we recommend your Desktop.

Trackpad

1. Open your PDF in Preview
Right-click on your PDF and choose Open With → Preview. Preview is the easiest way to sign PDFs on a Mac.

2. Add Text

Click the Markup icon (pencil). Then click the Text tool (T) and type in your client name or any other information you need. You can drag it into place, change the color to black, and remove the border if you want.

3. Add Your Signature

Click the Signature icon. Use a saved signature, or Click Create Signature → draw your signature with your trackpad or mouse → click Done.

Drag the signature where it needs to go.

4. Add a Date (Optional)

If you want to add a date, copy your text box → paste it → move it to the right spot.
Adjust as needed.

5. Save or Flatten Your PDF

Press Command + S to save.

Or to flatten it so nothing can be moved, press Command + P → Save as PDF, rename it (example: document_signed.pdf), and save.

iPad & iPhone

In a pinch? You can sign a document on your iPhone or iPad and it’s SO easy! It’s all through the “Mail” app on your device. Make sure your iOS is up-to-date before you get started!

1. Save the PDF to Files
If the PDF came from email or another app, tap the Share button, then choose Save to Files. Pick a folder and tap Save.

2. Open the PDF in Files
Go to the Files app and tap the PDF you just saved.

3. Open markup and add text
Tap the Markup icon (pen tip) at the bottom of the screen. Then tap the + icon → Text. Type your client name, date, or any other information, and drag it into place.

5. Add your signature
Tap the + icon → Signature.
Use your finger (or Apple Pencil on iPad) to sign directly on the screen.

Tap Done.

6. Place and adjust your signature
Drag your signature to the right spot and resize as needed.

7. Save your signed PDF
Tap Done. Your signed PDF is now saved in Files and ready to use.

Boom, you’re done! No more scrambling to find a scanner or fax machine.
